1.0    Purpose

This policy establishes guidelines for awarding scholarships for Casper College employees to take Casper College or the University of Wyoming (UW) credit courses or for their spouses and dependents to take Casper College credit courses.

3.0    Persons Affected

3.1    Casper College employees who are eligible to receive employment benefits.

3.2    Spouses and dependents of eligible Casper College employees.

4.0    Policy

The policy of Casper College is to ensure the following.

4.1    The college provides a means for employees to continue their educational advancement.

4.2    The college provides an employee benefit of tuition assistance for the employee’s spouse and dependents.

5.0    Definitions

5.1    Employee, Spouse, and Dependent Scholarship Award. Following are the criteria and limitations of this award.

5.1.1    All Groups

  • Must be eligible by the first day of the semester or wait until the following semester.
  • The award covers tuition and per credit student fees. It does not cover course fees.
  • Must maintain a 2.0 or higher semester GPA to be eligible to receive subsequent awards. Anyone who earns below a 2.0 in any given semester must pay for at least one semester on their own and earn a GPA of 2.0 or higher that semester to again be eligible for the scholarship.
  • Students who receive more than one tuition specific scholarship will not be awarded a scholarship that would exceed 100% of the cost of tuition.

5.1.2    Casper College Employees

  • Must currently be employed at Casper College in a position eligible to receive employment benefits for at least six consecutive months. The six-month calculation includes summer semester for full-time faculty or full-time employees regularly scheduled to work 9, 10, or 11 months annually.
  • May take a course for credit or audit. Faculty may not use audit courses for salary schedule advancement.
  • May apply for a scholarship award to cover up to six Casper College credit hours per semester.
  • May take one UW course for up to six credit hours per semester. UW waives the tuition and mandatory fees. The employee is responsible for student or course fees.
  • Must receive supervisor approval for any course that meets during the employee’s regular work hours.

5.1.3    Casper College Employee’s Spouse

  • Must be a spouse of an eligible Casper College employee.
  • Must take courses for credit.
  • May take an unlimited number of credit hours per semester.
  • Has not attempted more than 96 credit hours at Casper College.
  • Eligible Casper College employees may not apply for an award as a spouse.

5.1.4    Casper College Employee’s Dependents

  • Must be a dependent of an eligible Casper College employee.
  • Must be a degree-seeking student.
  • Must take courses for credit.
  • May take an unlimited number of credit hours per semester.
  • Has not attempted more than 96 credit hours at Casper College.
  • Eligible Casper College employees may not apply for an award as a dependent.

5.2    Dependent. A person who is under age 24, unmarried, and dependent on an eligible employee for more than half of their principal support.

5.3    Employee Tuition Scholarship Validation. Employees use this form to apply for a scholarship award to take Casper College or UW credit classes.

5.4    Dependent Tuition Scholarship Validation. Employees use this form to apply for a scholarship award for their spouse or dependents to take Casper College credit courses.

5.5    Spouse Tuition Scholarship Validation. Employees use this form to apply for a scholarship award for their spouse to take Casper College credit courses.

5.6    University of Wyoming Tuition Waiver. Employees use this form to apply for a scholarship award to take University of Wyoming credit courses.

6.0    Responsibilities

6.1    The vice president of student services is responsible of maintaining compliance with this policy.

6.2    The director of student financial assistance is responsible for authorizing scholarship awards in compliance with this policy.

7.0    Procedures

7.1    Taking Casper College Courses

7.1.1    Employees obtain the appropriate validation form from Human Resources (HR). Employees must complete a validation form for each semester in which they enroll.

7.1.2    The person enrolling in a course submits the form to Enrollment Services prior to the first day of the semester.

7.2    Taking  University of Wyoming Courses

7.2.1    Employees obtain the UW Tuition Waiver form from HR. Employees must complete a waiver form for each semester in which they enroll.

7.2.2    The person enrolling in a course submits the form to the UW at Casper Office for verification and then to the UW Accounts Receivable Office prior to the first day of the semester.

7.3    Employees who terminate their employment or whose employment is terminated during the semester for which the scholarship was awarded do not need to repay that scholarship award. However, if employment is terminated prior to the first day of the semester, the award is void.
